How To Create An Employee Attendance Policy
It is imperative to have a sound and solid employee attendance policy in effect for your company or business. With a concrete employee attendance policy, you and your employees will know what to expect from one another. Can you imagine trying to run a company without all of the employees being present? What if you had to juggle schedules and task assignments because employees took time off of work anytime that they wanted? In all companies and businesses if there is not some type of employee attendance policy in effect it will be difficult to manage employee attendance to have effective and efficient business operations. The first step to having an effective employee attendance policy is to think about what your goals and expectations are for your company and then for your employees. Trying to run your business without your employees being there is equivalent to trying to run your car with the battery low or completely burned out. It just doesn't work. Even though you want your employees to attend work, you must also realize that everyone has things come up in life that take precedent over business. It is important to have an employee attendance policy that is both concise and flexible at the same time. Once you have your employee attendance policy written out, go over it with your employees. Read it out loud to each of the employees or at an employee meeting. Find out if anyone has any questions in regards to the employee attendance policy that they do not understand. Make certain that you address any concerns or issues that the employees have brought up. This is where the point of flexibility comes into play. Make any necessary changes or modifications to the employee attendance policy that will meet both the needs of your company and the needs of your staff members. Once you have made the necessary changes and are happy with the modifications, have another staff meeting. Go over the new version of the employee attendance policy with the group. Again, find out if there are any questions or concerns. If there were aspects that were brought up in the previous meeting that were modified in the policy, explain to the personnel team why you chose not to include or implement those suggestions. This will enable them to understand your company's goals and validate their concerns. They will not feel as though you completely ignored their suggestions and just did what you wanted to do without any concern for what they had to say to you. After everything in the employee attendance policy has been discussed with the employees, it is time to have everyone receive two copies of the policy. Have both copies signed by the employees. One copy should be put in their human resources file records and the other copy should be for the staff members to take home with them to keep as a reference. Some considerations for the employee attendance policy should be things like employee attendance incentives. These would include aspects that would encourage employees to maintain good attendance records. Specific number of sick days, personal days, time for jury duty, and time for family emergencies, maternity leave and other aspects of attendance should also be specifically addressed in the employee attendance policy. Policies for tardiness and even for attendance on bad weather days should be addressed in the attendance policy so that employees will know what is expected of them and everyone will be working with the same goals and objectives in mind.
